About the role

Balfour Beatty are currently looking for a Office Manager to join our team based in Derby

Within this role you'll provide a range of secretarial and administration support to the project team, provide a wide range of administrative and analytical support to Project Director and Project Leadership Team. Whilst also being responsible for the effective management of office facilities and supporting administrative resources for the project team.

What you'll be doing

As a Office Manager you'll:

  • Devise and maintain efficient office administration processes to ensure a smooth and efficient service is delivered to team members, including managing the facilities, IT and office supplies.
  • Supervise and manage the administrators working on the project, to manage the overall administration workload, coordinate with other company office managers and administrators
  • Provide Executive Assistant support to the Project Director and other members of the project leadership team. Duties including:
    • Diary management, organising meetings and events, personal expenses and other expenditure, arranging IT support, coordinating project and business activities.
  • Produce and contribute to reports, presentations, meeting agendas/ minutes, spreadsheets etc.
  • Assist with team recruitment, raise job vacancy requests and arrange interviews.
  • Liaise with the customer, designers, supply-chain and any other stakeholders in the smooth running of the project and in support of the project leadership team.
  • Arrange or coordinate project/ site visits for business executives, the customer and any other stakeholders.
  • Book UK and overseas travel and accommodation.
  • Ensure that invoices are duly authorised and processed in a timely manner.
  • Ensure the office is fully compliant with all security protocols and Health and Safety requirements and ensure that the specific project security requirements are implemented and maintained.
  • Check that office facilities and equipment are in full working order and take immediate action to ensure any repairs are reported to the relevant internal/external provider.
  • Monitor and check the quality of services provided by external suppliers, contractors and other relevant third parties.
  • Work with the Procurement function to secure best deals as well as complying with company-wide procurement processes and suppliers.
  • Ensure statutory and communication notices are displayed and kept up to date in the office.
  • Support the local Business Continuity Manager in both the preparation and testing of a Business Continuity Plan and in its enactment in the event of an emergency,

Who we're looking for

The following qualities/experience are essential:

  • Very strong customer focus.
  • Expert user of Microsoft, PowerPoint, Word and Excel.
  • Has previous experience of working for a senior executive at board level.
  • Highly organised and able to work on own initiative with limited supervision.
  • Discreet and confidential and able to handle issues with great sensitivity.
  • Excellent team working skills and able to build relationships at all levels.
  • Strong communication and influencing skills.
  • Demonstrable ability to prioritise and manage conflicting priorities during busy periods.
  • Is able to demonstrate a logical, proactive approach.
  • Possesses a high degree of attention to detail.
  • Proven ability to work well under pressure and to tight timescales
