Role Purpose

To provide professional site administration services to site project teams to support effective operational delivery. Responsible for providing consistent, effective and efficient site administration support in accordance with BBUK policies and procedures.

What you'll be doing

As a Projectdministrator, your main responsibilities are as follows:

  • Implements and maintains office management systems that will ensure the efficient running of the project office
  • Supports the Project Management Team by carrying out a full range of administration and secretarial support, including meeting management; diary management; arranging travel for all site staff; managing incoming and outgoing post; managing the central project email account; taking and distributing meeting minutes
  • Leads by example and provides professional, customer-focused reception service for the office/site, taking calls and greeting visitors
  • Supports with the production and distribution of documents, letters, presentations and reports as required
  • Uploads, manages and downloads documents on Business Collaborator ensuring distribution to relevant members of site and client teams
  • Production of day file and effective distribution through site team
  • Plans and organises office/site events as required including visits by senior stakeholders and clients
  • Plans monthly Management Site Tours
  • Maintains a project team calendar ensuring key activities / events are diarised and site team annual leave and other time away from work is recorded
  • Monitors The Hub, Yammer and other Balfour Beatty communication channels and provides site teams with timely updates including safety communications, line manager activity updates, changes to the BMS - keeps notice boards up to date with key messages
  • Manages office budgets to plan
  • Ensures that invoices and business expenses are processed in order to be paid on time
  • Monitors, issues and replenishes stationery, kitchen and cleaning supplies, and PPE
  • Supports line managers in providing a welcoming and effective induction for new starters joining the project (existing and new employees)
  • Monitors and tracks all site allowances and subsistence entitlements for project team members
  • Submits individual and bulk allowance requests where appropriate
  • Monitors and tracks mandatory technical training of project-based staff - notifying employees when they are due to expire to prompt renewal
  • Acts as a local super-user for HR systems guiding line managers and staff on how to use the BB Support Portal; R12; the eLearning and PDR platform; Talentlink
  • Carries out additional duties as required

Who we're looking for

The following qualities and experience are essential:

  • Secretarial and/or administrative experience
  • Highly organised and able to work on own initiative
  • Effective communicator, both verbal and written
  • Excellent team working skills, able to build relationships at all levels
  • Ability to work well under pressure and to tight timescales
  • Excellent typing speed and IT Skills including Microsoft Office (Excel, Word and PowerPoint)
