About the role

Balfour Beatty has an exciting opportunity for a Document Controller to join our HS2 Major Projects team to work in Old Oak Common, London.

Within this role you'll support the project team, supply chain and others to manage documentation and implement the systems to ensure information is adequately controlled and shared.

What you'll be doing

Within this role as a Document Controller you'll:

  • Provide appropriate input to the development, documentation and ongoing maintenance of the Information Management Plan and Document Control Plan (and corresponding procedures) to meet relevant requirements (including ISO 9001);
  • Contribute to the development, establishment, and implementation of mechanisms to effectively communicate requirements and corresponding information management / document control management systems; provide ongoing consulting, expertise, direction and support to members of the project team, suppliers and others.
  • Support the Document Control Manager to ensure a specific, relevant, and comprehensive set of subcontract requirements relevant to information management / document control have been incorporated within each tender
    package.
  • Provide appropriate proactive support working collaboratively with the project team, suppliers, and others to ensure information management and document control systems are effectively implemented including:
    • Issue document numbers to relevant parties in accordance with the
      project requirements.
    • Quality check incoming documents (e.g., from designers/ sub-
      contractors) in line with the document control procedure.
    • Ensure documentation contains the appropriate metadata for
      compliance retrieval and audit purposes.
    • Provide document support to ensure information is issued and
      maintained in an efficient and accessible controlled manner.
    • Support the approval / acceptance processese.g., assist with collation,
      distribution, and close-out of comments.
  • Work collaboratively with the Project Team, suppliers, and other interested parties to maintain a system of progressive assurance for the works. For example, this may include checking / compiling assurance packs for issue to relevant parties.

You will have the following:

  • Maintains a strong sense of personal ownership relevant to the role, seeks to add value to their function, and maintains a make it happen approach.
  • Ability to build strong relationships with the project team members, suppliers, client representatives, and other stakeholders.
  • Substantial practical experience of document control support in a relevant business environment.
  • Experience of building and implementing management frameworks, monitoring their use, and maintaining / improving.
  • Ability to gather, analyse and evaluate facts, make appropriate judgements, and act accordingly without undue delay.
  • Pays attention to detail and sees thing through to completion.
  • Can demonstrate initiative and resilience.
  • Knowledge of the sector and experience within a project-based organization.
  • Acts professionally both independently and collaboratively with others.
  • Has an enquiring and questioning approach to audit work.
  • Knowledge of AssetWise, eB and SharePoint.
